2. Who this Privacy Policy applies to
This Privacy Policy applies to people who visit the SELF website; apply for or purchase SELF membership; are current or former SELF members; communicate with the SELF concierge; attend a SELF Onboarding Session; participate in the SELF member community; ask SELF to introduce them to one of our partners; or otherwise contact or interact with SELF.
3. Information we collect when you become a member
When you join SELF, we may collect your full name, email address, mobile telephone and/or WhatsApp number, information relating to your SELF membership, membership start and renewal dates, records relating to payments, refunds and membership status, and communications relating to the administration of your membership.
We aim to collect only the information we reasonably need to provide and administer your membership.
4. Payment information
Membership payments are processed by Stripe. Stripe processes your payment information in accordance with its own privacy and security arrangements.
SELF may receive information from Stripe about your transaction, such as whether a payment has been successful, the amount paid, your membership or subscription status and information required to administer your membership.
SELF does not need to collect or store your full payment-card details.
5. Information you provide to the SELF concierge
When you use the SELF concierge or attend your Onboarding Session, you may choose to tell us about your personal and financial circumstances. Depending on what you ask us about, this could include information concerning your employment or self-employment, income, property or mortgages, savings and investments, pensions, insurance or protection requirements, tax-related needs, financial objectives or priorities, and other information relevant to your enquiry.
SELF does not seek to conduct a full financial fact-find. We aim to collect only enough information to understand what you need and determine whether access to appropriate specialist expertise or a SELF partner may be useful.
Where detailed information or documentation is required to provide regulated or specialist advice, this should normally be collected directly from you by the relevant partner.
6. WhatsApp and other communications
Members may communicate with SELF through WhatsApp, email and other communication channels we make available.
We may retain relevant communications so that we can respond to your enquiries, provide continuity in the concierge service, understand previous requests and introductions, administer your membership, maintain appropriate records and improve the service we provide.
You should avoid sending highly sensitive information or documents to SELF unless they are reasonably necessary for your enquiry. Where a partner requires detailed financial information, identity documents, bank statements or other supporting documentation, these should normally be provided directly to that partner through its own processes.
7. Partner introductions
We will only make an introduction and share your personal information with a partner where you have agreed to that introduction.
For a normal partner introduction, we may provide the partner with your full name, email address, telephone number and brief notes to help the partner understand the purpose of the introduction.
The notes will be limited to information reasonably relevant to the reason for the introduction. We will not routinely provide a partner with your complete WhatsApp or concierge conversation history.
Once an introduction has been made, the partner is responsible for collecting any further information it requires directly from you and will process your personal information in accordance with its own privacy policy and applicable legal and regulatory obligations.
8. Why we use your information
We may use your personal information to create and administer your SELF membership; provide the SELF concierge service; arrange and manage your Onboarding Session; understand and respond to your enquiries; identify potentially relevant experts and partner firms; make introductions you have agreed to; provide access to member benefits and the SELF community; communicate with you about your membership; process and administer payments, renewals, cancellations and refunds; maintain appropriate business and transaction records; respond to complaints or disputes; protect SELF, our members and partners against fraud or misuse; comply with legal and regulatory obligations; improve and develop the SELF service; and send marketing communications where permitted.
9. Our lawful bases for using your information
Depending on the circumstances, we may rely on contract, legitimate interests, legal obligation or consent as the lawful basis for processing personal information. Where we rely on consent, you may withdraw that consent at any time.
10. Membership communications
We will use your contact details to send communications reasonably necessary to operate your SELF membership. These may include joining and onboarding information, membership confirmations, payment and renewal information, reminders about your membership, important service information, changes affecting your membership, information about member benefits and responses to enquiries you have made.
11. Marketing communications
SELF may also communicate with members by email and WhatsApp about relevant SELF services, content, events, partner services, member offers and other opportunities we believe may be of interest.
We will only send electronic marketing where permitted under applicable law. Where required, we will ask for your consent. Where applicable, we may rely on the existing-customer or “soft opt-in” provisions.
You can change your marketing preferences or ask us to stop sending marketing communications at any time. Opting out of marketing will not affect your SELF membership or prevent us from sending communications necessary to administer or provide your membership.
12. Who we may share your information with
We may share personal information where reasonably necessary with SELF partner firms where you have agreed to an introduction; payment providers such as Stripe; email and productivity providers; communications providers, including WhatsApp; website hosting and technology providers; customer-management and automation providers; professional advisers; and regulators, government bodies, courts or law-enforcement authorities where disclosure is legally required or appropriate.
We do not sell member personal information.
13. International processing
TMA HQ L.L.C-FZ is incorporated in Dubai, United Arab Emirates, and SELF uses technology and service providers that may process personal information in different countries. As a result, your personal information may be accessed, stored or processed outside the United Kingdom.
Where UK data protection law requires safeguards for an international transfer of personal information, we will use an appropriate lawful mechanism or safeguard.
14. How long we keep your information
Our normal retention periods are:
Core membership and transaction records: up to six years after your membership ends.
Detailed concierge and WhatsApp communications: normally up to two years after your membership ends.
We may retain particular information for longer where reasonably necessary because of a legal or regulatory requirement, an ongoing complaint or dispute, actual or potential legal proceedings, fraud prevention, an unresolved payment matter or another legitimate reason requiring continued retention.
15. Keeping your information secure
We take reasonable organisational and technical measures to protect personal information against unauthorised access, loss, misuse, alteration or disclosure. We also aim to limit access to personal information to people and service providers who reasonably need access for the purposes described in this Privacy Policy.
16. The SELF member community
If you choose to participate in the SELF member community, information you post within the community may be visible to other members. You should therefore consider carefully what personal or financial information you choose to share publicly within the member community. SELF does not recommend sharing confidential financial information, account details, identity documents or other highly sensitive information in the community.
17. Your data protection rights
Depending on the circumstances, UK data protection law may give you rights including the right to ask for access to the personal information we hold about you; ask us to correct inaccurate or incomplete information; ask us to delete your personal information in certain circumstances; ask us to restrict how we use your information in certain circumstances; object to certain uses of your information; receive certain information in a portable format; withdraw consent where we rely on consent; and complain about how your personal information has been handled.
To exercise a data protection right, contact dataprotection@selffc.com.
18. Complaints about your personal information
If you have a concern about how SELF has used your personal information, please contact us first at dataprotection@selffc.com.
You also have the right to raise a complaint with the UK Information Commissioner's Office (ICO) if you are unhappy with how your personal information has been handled.
19. Cookies and website information
The SELF website may use cookies or similar technologies to operate the website, understand how it is used and support functionality. Where cookies require consent under applicable law, we will provide an appropriate choice before using them. More detailed information may be provided through a separate Cookie Policy or cookie notice as the website develops.
20. Automated systems and AI
SELF may use technology, automation and artificial intelligence to help administer membership and support the concierge service. For example, these systems may help organise member enquiries, identify the general nature of a request, prepare internal summaries or assist with routing a member to an appropriate part of the SELF service.
SELF will remain responsible for how personal information is used within these systems. We will not rely solely on automated decision-making to make decisions that produce legal or similarly significant effects for members unless we have an appropriate lawful basis and comply with any additional legal requirements that apply.
21. Changes to this Privacy Policy
We may update this Privacy Policy as SELF develops or where our use of personal information, technology, partners or legal obligations changes. The latest version will be available on the SELF website and will show the date it was last updated.
